If a staff member is leaving (or has already left), here’s how to update their profile in salonMonster while keeping their history and data intact.
✈️ Step 1: Add a Vacation (Before They Leave)
If the staff member is still working but has a set departure date, you can add a vacation to make sure they no longer appear available after their last day.

Open the main menu on the left-hand side.

Select Settings → Hours/Vacations.

Use the Staff dropdown at the top of the page to select the correct staff member.

Click Vacations.

Choose + Add a vacation.

Set the vacation from the staff member’s departure date to one year in the future (just to be extra safe).

Select Save.
This way, they’ll still appear on the calendar but won’t be available for bookings past their departure.
🚫 Step 2: Mark Them as Inactive (After They Leave)
Once the staff member has officially left, you’ll want to set their account to inactive.

Go to Settings → Staff.

Select the staff member from the list.

Click Permissions (top right).

Toggle off the first permission: Active.

Select Save.
✅ That’s it! The staff member will no longer be bookable on your calendar, but you’ll still have access to their financial records, appointments, and client history.
❓ Frequently Asked Questions
Can I delete a staff member completely?
Yes. But for record-keeping we do not suggest this. Instead, set them as Inactive so you still have access to their past appointments, payments, and client notes.
What if the staff member returns later?
You can easily reactivate them! Just go back to Settings → Staff → Permissions and toggle Active back on.
Does marking someone as inactive affect reports?
No. Their historical data (appointments, sales, payouts, etc.) will remain in your reports even after they’re inactive.
